Working as part of the branch team, you will provide secretarial, clerical and administrative support, carrying out a wide range of duties including maintaining electronic calendars and making appointments, dealing with telephone enquiries and processing incoming and outgoing mail. You’ll also liaise with UNISON members, employers, and other external parties.
For this role, you do not have to have a trade union background, but you do need to have an understanding and sympathy with the aims and values of the trade union movement.
Key Tasks and Responsibilities
1. Provide a secretarial support service, as required, to the Team, using IT applications such as Microsoft 365.
2. Maintain confidential files, databases and filing systems
3. Draft correspondence, documents and agendas
4. Follow committee procedures, conference deadlines and take minutes of meetings
5. Provide support for and regularly assist with recruitment events
6. Answer queries and refer callers to appropriate parties
7. Provide information to members
8. Provide advice and guidance by phone, liaising with external providers on venues, printing etc. chasing people for information.
9. Prioritise work and deal with conflicting priorities
10. Organise seminars and conferences.
11. Refer problems with suppliers, conflicting priorities which cannot be solved.
12. Handle petty cash and cheques
13. Deal with upset, distressed or angry members
14. To undertake other duties relevant to the overall responsibilities of the post
